Slide notes: In this tutorial we look at the Stock Code Enquiry option.

Slide notes:

Slide 4

Slide notes: The Stock Code can be entered by specifying the Stock Code or by using any of the many lookup methods available for easy retrieval.

Slide 6

Slide 7

Slide notes:

Slide 8

Slide notes:

Slide 9

Slide notes: On the Stock Code enquiry, we are always looking at a Stock Item in a specific Store. If we want to look at the Stock Code in all Stores at the same time, then we would use the Stock Master Enquiry option.

Slide 10

Slide notes:

Slide 11

Slide notes: At Order History, we can see the main indicators in terms of Last Order, Last Price, Last Quantity, and so on. These are just the primary indicators, and more detail are available on the drill options. At the Financial Values area, we can see the Value for this Stock Item that is currently on Order, Received but not yet Invoiced, Current Invoiced Value and Current On Hand Value.

Slide 12

Slide notes: At the Physical Quantities, we can see quantities that are on Request or Requisition, In-bound Stock Transfers not yet received, On Order, Received and Invoiced. From this, an On Hand Quantity indicator is derived and displayed.

Slide 13

Slide notes: But the Available Quantity may be less than the On Hand Quantity because there may be pending Transactions from Retail that the system is already aware of as being 'in process' but not yet fully processed. There may also be quantities on Reserve by Retail, Manufacture or other, and there may be pending Stock Transfers where the Stock Item has already been booked out or dispatched but not yet indicated as received on the other side. The net of these indicators result in the Available Quantity.

Slide 14

Slide notes: The Indicator Drill provides options to reset some of these Indicators.

Slide 15

Slide notes: Because of the multi open Period processing, it is possible that at some point we may look at a Stock Code and think that the figures look wrong. Let's choose the Help for that.

Slide 16

Slide notes: And the explanation will clarify  why the current Values are displayed as they are.

Slide 17

Slide notes:

Slide 18

Slide notes: The Indicator statuses are explained here, and are dependent on real-time processing. It is not inconceivable that occasionally an Indicator may fail to reset by itself, and therefore there is the option to reset it manually, but usually there is no need to reset indicators.

Slide 19

Slide notes: We can see the primary Bin Number for this Item as listed on the Stock Master, and we can also see that for this Stock Item in this Store, there are additional Bin Numbers.

Slide 20

Slide notes:

Slide 21

Slide notes: The Bin Number function may be used to modify the Bin Numbers for this Stock Item, in this Store specifically.

Slide 22

Slide notes:

Slide 23

Slide notes:

Slide 24

Slide notes: Let's remove one of the Bin Numbers.

Slide 25

Slide notes:

Slide 26

Slide notes: And we can see that this Bin Number has been removed now.

Slide 27

Slide notes:

Slide 28

Slide notes: A Purchase Advice may be printed, if necessary, to forward to a User Department as a pre-approval step before re-ordering the item.

Slide 29

Slide notes: The Purchase Advice provides trends and other detail for the User Department to evaluate.

Slide 30

Slide notes: A Worksheet may be printed by the Buyer to use as a working tool in the re-order process.

Slide 31

Slide notes: And the Worksheet also provides space for Quotations to be collected from multiple Vendors.

Slide 32

Slide notes: There is a History view for Stock History that happened before using IES, and which may be uploaded when migrating from another system to IES.

Slide 33

Slide notes: In this case, there is no prior history.

Slide 34

Slide notes: The Transaction drill option can lead to Transactions for any selected Period.

Slide 35

Slide notes:

Slide 36

Slide notes:

Slide 37

Slide notes: Brought Forward, Current Movement and Carried Forward figures are shown for the selected Period.

Slide 38

Slide notes:

Slide 39

Slide notes: And the Transaction detail can be drilled into.

Slide 40

Slide notes:

Slide 41

Slide notes: In this example, the Transaction is for Ordered and Received, and though the default display is for Actual, we can change to any view.

Slide 42

Slide notes:

Slide 43

Slide notes:

Slide 44

Slide notes: And now we can also see the Accounts that have been impacted in the double-entry system.

Slide 45

Slide notes:

Slide 46

Slide notes:

Slide 47

Slide notes: Audit Trails and Export options for the current Transaction drill are also available.

Slide 48

Slide notes: So let's just do an example of exporting to Spreadsheet.

Slide 49

Slide notes: And immediately we have the detail in Excel.

Slide 50

Slide notes:

Slide 51

Slide notes:

Slide 52

Slide notes: There are also a range of other views and drills available.

Slide 53

Slide notes: Let's try the Order History option.

Slide 54

Slide notes:

Slide 55

Slide notes: From the Order History list we can drill directly into any of the listed Purchase Orders when this Item was ordered.

Slide 56

Slide notes:

Slide 57

Slide notes:

Slide 58

Slide notes:

Slide 59

Slide notes:

Slide 60

Slide notes:

Slide 61

Slide notes:

Slide 62

Slide notes: Let's look at another example. This time we try the Sales History view.

Slide 63

Slide notes:

Slide 64

Slide notes: And now we see the Sales summary for this Item, by Period.

Slide 65

Slide notes: We can also view the Purchase Order Costs for this Item on any Purchase Order in the history of this Item.

Slide 66

Slide notes:

Slide 67

Slide notes:

Slide 68

Slide notes: And the display will include Quantity Ordered, Received and Invoiced, the Price and even the Landed Costs and Actual Unit Cost.

Slide 69

Slide notes: Although we have not explored each and every function available on the Stock Code enquiry option, it should be clear from our examples how to use this flexible function.
