In this tutorial we are looking at how we make a new User.  In other words if we want to create a new User he must be able to use the system.

We will then choose Access Profiles.

And here we will simply choose   New User.

So the new User Id is the User Code.

That is the Code that the User will type every time he or she logs onto the system.

We tend to keep it as short as practical.  You can decide how to create your user codes and what they should look like.

It is an alpha numeric Code and there should be no spaces.

I will just make this one J Smith.

So the new User name will be John Smith and we can now use a space if we want to.

The system decides to address him as John.  We can change it if we want to.

The Corporate Notepads are automatically included.  We can however switch it off.

We will discuss Corporate Notepads in a separate tutorial and we look at the Data Marts.

The system is going to collect all the current existing Data Marts on this system and include these here for access for this user i.e. for entry to these different Data Marts.  These are not yet the Menu Profiles

This is simply entry to various Data Marts. 

We can remove from this list any Data Marts that may not apply for this new User that we are creating.

So all we have to do now really is to choose Create. So I do that.

And now the new user has been created successfully and now I have an option to

Mirror Access.

We are going to deal with Mirror Access separately in another tutorial but basically

what it means is: If we choose to Mirror Access then we do not have to go and create any specific Menu Profiles for this new user.

So if I Mirror Access by giving all the access that currently belongs to another known User …

And the system is automatically going to give all access that User DM has to this new User, John Smith, when he logs onto the system for the first time.

Note that Mirror Access is not something that we have to use, it is optional.  Now when we have created a new user, it is a good idea to go to the Maintain User step and choose Maintain User.

We deal with this User Master record also in a separate tutorial. But we just note that when we create a new User, we do come here and in case we have any specific settings here that we wish to change.

But essentially the new User Record has been created and the next step will be to decide, if we have not chosen Mirror Access, is how we are going to setup the Access Profiles for this User.

Now the question is, can this new user log onto the system now? And the answer is as follows.  Yes, the user can definitely log onto the system now.

If we have chosen Mirror Access, then automatically the User is going to generate access for this User so that when he logs on he will be able to have options and will be able to use the system.

If we have not chosen Mirror Access then because we have not set up any profiles for this user yet, he will be able to log on but he will not be able to go anywhere or do anything.

He will just get a message like: No options for you.

But when this User logs on, the User is going to use this logon code.  Now look at the password allocated automatically by the system.

This is encrypted but the password is actually J Smith in lower case. Exactly the same as the User code.

So for the first logon the User will use the User Code with which he or she has been created and type it just like that and immediately the system will then ask this User to choose his or her own new password.

We can also as a Systems Administrator changes this password here now to something else.  In other words, if I go and type something else here ……

And Enter. 

Then that will be encrypted and that will be the new password.

But by default, when we create a new User Master Record, then the first password is the same as the user code that has been created.
